Position Responsibilities:
The Administrative Assistant performs administrative functions within the office of Recruitment and Human Resources. This includes greeting guests at the front desk, scheduling, answering incoming phone calls, and providing internal and external customers with general HR information. This position will provide administrative support for a variety of projects across the department. The Administrative Assistant must be able to prioritize, meet deadlines, maintain confidentiality, and provide internal and external customers with excellent customer service.
The Administrative Assistant I will perform a variety general office duties including but not limited to the following:
Manages the HR reception area and rotational coverage schedule
Enthusiastically greets internal and external customers, guests, candidates and coworkers, creating a positive first impression as the face of HR
Facilitates and monitors flow of customers through HR department, informing HR contacts of arrival of customers with appointments and identifying proper resource for walk-ins
Answers incoming phone calls efficiently and courteously and routes calls as appropriate
Answers basic questions regarding HR processes in person and over the phone
Ensure documents are available for new hire appointments, requests additional documents from Recruiter as necessary
Filing confidential documents
Manage parking validation
Responsible for conference room reservations and meeting coordination
Supports general office administration, including mail distribution and office supply and equipment management
Maintains HR conference room calendars
Assists in planning departmental functions
Maintains department and equipment management (i.e. Working Environments Services, Copier services)
Ensures compliance with HR policies and maintains confidentiality of sensitive information
Undertakes projects and other duties as assigned
Qualifications
High school diploma or GED required; Associate's degree or higher preferred.
At least two years of experience required, preferably in a high volume healthcare or human resources setting.
Ability to confidentially handle sensitive matters and materials.
Excellent customer service and communication skills required.
Time management and organizational skills required in order to handle multiple priorities simultaneously.
Must be able to work independently and as part of a team.
Proficiency with Microsoft Office applications required.
