We seek a self-motivated candidate with excellent organizational and computer skills. High level of interpersonal skills and excellent verbal and written communication skills also required. Must be comfortable interacting with diverse individuals inside and outside of the University.
On behalf of the Department Head and reporting to the Associate Department Head, the Academic Support Coordinator (ASC) will provide overall academic and administrative support to the Electrical and Computer Engineering (ECE) Graduate Program. The ASC will work to establish and maintain support networks with businesses, service organizations, students, faculty, staff and professional organizations, insuring the vitality of all services and programs provided by the ECE Graduate Program. Provides ECE PhD program management. Provides administrative support to ECE Graduate Program, including interactions and following up with Registrar, Graduate Dean, etc., and updating the ECE Graduate Handbook.

Minimum Education and Experience

Bachelor’s degree in business administration or a related field or any equivalent combination of education and experience. Four or more years of administrative office experience in an academic environment. Excellent computer skills with various programs and ability to work with specialized databases. Outstanding customer service skills.

Three-five years of experience working in higher education.

Essential Duties and Responsibilities

On behalf of the ECE Department Head, provides academic, administrative support and leadership to programs, events, and student groups within the Electrical and Computer Engineering (ECE) Graduate Program. Works closely with the Department Head and ECE Associate Department Heads in the development and implementation of strategies to organize and plan aspects of the ECE Graduate Program. Act as a key liaison with University officials, colleagues, students, administrators of outside and internal departments, clients, customers, donors, community leaders, and board members. Receive and respond accordingly to various telephone, email, and mail inquires. Individual will prepare correspondence and reports for Associate Department Head; generate electronic forms and route for digital signatures.
Responsibilities will include developing and facilitating events such as colloquiums, professional presentations, and mixers. Schedule and coordinate administrative details of meetings, events, and projects; including but not limited to logistics, agendas, minutes, etc. May attend meetings with or on behalf of Associate Department Head.
Other responsibilities include updating and maintaining data and documents through various systems; assist in accreditation process during audits; course catalog reviews, coordination, and updates; the ECE Graduate Handbook. Procurement and OneCard reconciliation as needed; account reconciliation on cost centers related to the ECE Graduate Program and the ECE Associate Department Head. Provides ECE PhD program management. Provides administrative support to ECE Graduate Program, including interactions and following up with Registrar, Graduate Dean, etc. Maintains and disposes of files in accordance with university policies; other duties as assigned.
